Asset & Compliance is the office side of Sentry for the documents a guard must hold and the equipment a guard is issued. It tracks expiry dates per person, emails reminders on a schedule the company sets, and keeps a register of firearms and other assets with a signed record of every issue and return.

How it works
One record per document
Each record holds the document type, number, issuing authority, issue and expiry dates, and an optional SAPS case reference. Licence photos, renewal letters and other files are attached to the record.
Reminders before expiry
Reminders go out by email and in the app. The company default is 60, 30, 14, 7 and 1 days before expiry, and a single document can have its own schedule up to a year ahead, for renewals with a long lead time such as firearm licences. Each record takes a primary and a secondary notification address.
Renewal status, not just a date
A record can be marked as awaiting documents, renewal in progress or submitted to the authority, so the register shows where each renewal has got to rather than only whether it has lapsed.
Stop an expired guard clocking in
A record can be set to block clock-in once it expires. The guard is refused at clock-in, and the refusal is written to the audit log.
Asset register
Firearms, radios, tonfas, body armour, cuffs, torches, vests, body cams, SIM cards and phones, each with make, model, serial number, storage location and condition. Firearms carry calibre, the SAPS 271 reference and the licence number and expiry, which is tracked for reminders like any other document.
Signed issue and return
Issuing an asset records who issued it, who received it and when, with signatures at issue and at return. If the person’s compliance records fail the check at issue, the admin can still go ahead, but has to give a reason, and the override is reported.
The whole company at a glance
The overview shows the share of records that are compliant, how many expire within 30 days, how many have expired, and how many assets are issued or in store. An expiry calendar puts compliance, asset licence and maintenance dates on one month view.
Reports and bulk import
Compliance status, the asset register, every issue and return with ammunition counts, every reminder sent and every override export to CSV or PDF. Asset utilisation shows each item’s days issued against days in store. Existing records and assets import from a CSV template, with a preview that flags duplicates before anything is saved.
